# Key terms

Plain-language definitions used throughout this guide.

| Term | Meaning |
| --- | --- |
| Booking | The reservation; invoices and payments belong to a booking. |
| Workspace | Your Lavanda operator or brand context. |
| Invoice | A charge document: the guest owes this amount. Used on workspaces configured for standard invoices. |
| Charge note | A separate charge document type (not an invoice subtype). Used instead of invoices on some workspaces. A workspace uses invoices or charge notes, not both. |
| Draft | Prepared but not yet issued. |
| Issued | Live document; counts toward balance. |
| Issuing | E-invoicing in Spain only. Document submitted to the tax authority and locked while awaiting response. Portuguese invoices don't use this state: they go from Draft to Issued. |
| Rejected | E-invoicing in Spain only. Tax authority declined the submission; document can be corrected and re-submitted. In Portugal, a document that can't be certified goes back to Draft, flagged with issue errors. |
| Corrective invoice / corrective charge note | Replaces or fixes a previous issued document (generated after issuing a credit note that voids a previously issued invoice). |
| Receipt | Proof of payment received. |
| Credit note | Voids or reduces a standard invoice after issue. Not for discounts. |
| Credit charge note | Voids or reduces a charge note after issue. |
| Goodwill credit note (coming soon) | Reduces outstanding balance as a commercial gesture without voiding the invoice. Distinct from void/correction credit notes. |
| Write-off (coming soon) | Removes remaining outstanding balance when debt is deemed uncollectible. |
| Refund note | Money returned to the guest after payment. |
| Refund reversal note | Cancels a refund note in full when the refund never reached the guest (for example the card was cancelled, or a bank transfer refund bounced). The amount goes back on the receipt as open balance. |
| Refund failed | The payment provider accepted a refund, then reported that it could not complete it. Lavanda then issues a refund reversal note on its own. |
| Refund status | For refunds made through a payment provider: pending (sent to the provider), succeeded, or failed. Manually recorded refunds have no refund status. |
| Payment reversal note | Payment voided or never completed, for example a card payment taken back after a lost dispute. Not the same as a refund reversal note. |
| Allocation | Link between two documents (e.g. receipt paid invoice). |
| Auto-allocation | Lavanda links oldest receipt to oldest open charge when documents are issued. |
| Webhook | Alert that a document changed; includes ID to fetch via AR API. |
| AR API | Retrieves full document details after a webhook. |
| Outstanding balance | Still owed on a charge after payments and credits. |
| Credited | Reduced by a credit note; not the same as paid. |
